How does CareAcademy help me meet compliance requirements?
Our in-house Compliance Team retrieves regulations directly from state agencies and other relevant entities when available. We reference the exact subject and duration requirements, then synthesize them into clear, actionable training bundles.
Using this process, we create initial and annual compliance bundles that help your organization meet requirements with confidence.
CareAcademy’s product logic automatically calculates when initial and annual training are due for each team member, factoring in:
- State regulations
- Hire date
- Date added to the system
- Special state requirements (e.g., Washington’s HCA registration date, California’s birthdate-based deadlines)

What if my state requires annual training but doesn’t specify the exact classes?
How does CareAcademy select and curate compliance bundles?
CareAcademy’s Content and Compliance Team is made up of regulatory specialists, instructional designers, and experienced healthcare professionals. This blend ensures our training is both regulation-aligned and effective for adult learners.
The team carefully reviews training regulations for each supported state, care setting, and role, including:
- Training cadence and frequency
- Required duration
- Subject matter coverage
- Other role- or setting-specific requirements
Working closely with our Content Team, we curate curricula that best match compliance needs. We also continuously monitor for regulatory updates and make adjustments as needed.
Training Outside of CareAcademy’s Scope
Compliance bundles are built using courses from our self-paced online content library. While we cover most requirements, there are exceptions:

State-mandated training: Some states require training to be completed directly with the state and not through third-party providers.

Organization-specific training: Policies, procedures, and other internal requirements (e.g., emergency protocols, incident reporting) must be provided by your organization. The content will reflect your organization’s specific practices and requirements.

In-person training: Some requirements must be delivered live by a facilitator and cannot be completed online. You can add these as a custom class placeholder within CareAcademy to ensure tracking.

Skills-based training: Some requirements must be completed under the supervision of a licensed professional. CareAcademy does not currently provide in-person supervision, but supports placeholders for tracking.

Content not available: Our library continues to grow, but we may not always have content for every required subject. In these cases, we’ll provide the closest curriculum possible and notify you of any missing topics.
Why is CareAcademy recommending training longer than what’s required?
CareAcademy designs training bundles to prioritize learning outcomes and meet state requirements where applicable. While we aim to align course durations with those requirements, our first priority is ensuring caregivers are thoroughly educated on each topic. As a result, some courses that address required subjects may run longer than the minimum duration.
You can modify the course list in a compliance bundle to reduce total duration. However, our bundles are curated to meet requirements, so if you make changes, you’ll need to ensure subjects and hours still comply with your state’s rules.

How does CareAcademy provide compliance training recommendations for states with no training requirements?
In states without mandated training requirements, CareAcademy recommends core preparation before staff begin providing services. Organizations remain responsible for orienting employees to applicable terms of employment, descriptions of services, and role-specific scope of practice. Our professional-development courses cover essential topics to help caregivers, licensed professionals, administrative staff, and other team members deliver safe, high-quality care.
What if my state requires annual training but doesn’t specify the exact classes?
Some states require annual training but leave the choice of classes up to the organization. In these cases, CareAcademy provides a recommended set of courses within the compliance bundle to give admins a helpful starting point. These recommendations appear on the bundle card in the Training Catalog, but they are not the only options available. The state crosswalk will point you to the requirement itself and encourage you to review the full CareAcademy class library.
Our library includes a wide variety of courses—including population- and condition-specific topics—that can be used to build a tailored annual training program. While our Compliance Team provides recommendations, admins are encouraged to customize selections to best meet the needs of both care providers and the individuals they support.
