At CareAcademy, we understand and value the importance of tracking team members' training - both when it comes to CareAcademy classes and custom in-house training developed by agencies. For this reason, the Admin Dashboard includes the functionality to document a non-CareAcademy class by creating a class placeholder.
Creating a custom class placeholder gives administrators the ability to document additional training, such as an orientation, and have the completed class appear in compliance reports. Since the custom placeholder is for a non-CareAcademy class, no certificate will be generated.
Once a class placeholder has been created, it lives in your own dashboard Class Library and is only available to be added to the team members on your dashboard. A class placeholder can also be added to an initial or annual training bundle for a training group's curriculum. A class placeholder can be created when at least one team member has been added to the admin dashboard.
Do you have a large amount of historical completions to upload for reporting? We can help! Complete this historical completions spreadsheet, and send it to our Customer Support team at hello@careacademy.com with your dashboard name for upload. Important: A team member must be active on your dashboard in order for the historical completions to be uploaded for them. Please allow 3-5 business days for the upload process.
How do I document the completion of an external class on the Team page
Step 1: Log in to your admin dashboard via go.careacademy.com.
Step 2: Access the Team page by selecting the "Team" Icon on the upper left side of your dashboard
Step 3: Search for the team member using the search feature in our Team member table
Step 4: Select "Edit" for the team member to be taken to the Team member's details
Step 5: As you arrive at the Team member details, you can add the placeholder for the external classes to either an existing bundle via the "+" button in that bundle, or create a new training bundle via the + Add training button
Step 6: When the class catalog displays, select the "New class" tab
Step 7: Complete the mandatory fields to establish the class placeholder. This information is necessary for the training log. Select the "Continue" button upon completion.
Step 8: A summary of the classes to add will display, click "Enroll"
Your new class placeholder is now created! You will now see this class in the Class Library section on your dashboard. This class placeholder is now available to be assigned to any team member on your dashboard via the "Add Training" feature
Note: Any class placeholder created will be tagged with an "External Class" icon so it is easily identified in the future.
In order to mark this class placeholder as complete, a dashboard admin must waive this course in the dashboard.
